Scope
This policy explains how VoxLink handles personal information in connection with its website, enquiries and AI voice and chat services. VoxLink is operated by VOXLINK AI PTY LTD (ABN 44 702 572 978), and references in this policy to "VoxLink", "we", "us" and "our" mean that entity. It is written for an Australian business context and is intended to describe our general handling practices without limiting rights or obligations that apply under law.
A customer using VoxLink may collect personal information through its own calls, messages and connected systems. That customer remains responsible for its notices, permissions and lawful use of the service.
Information we collect
Depending on how you interact with VoxLink, information may include:
- contact and business details you provide in an enquiry or account;
- account, subscription, support and service configuration information;
- call, message, recording, transcript and workflow information processed when relevant features are used;
- technical and usage information needed to operate, secure and improve the website and services; and
- information received through integrations that you or your organisation choose to connect.
We ask customers not to provide information that is unnecessary for the purpose of their enquiry or workflow.
How we use information
We may use information to:
- respond to enquiries and provide requested information;
- create, operate and support accounts and configured services;
- process calls, messages and connected workflows as directed by a customer;
- protect the website, service, customers and users from misuse or security threats;
- maintain, troubleshoot and improve performance; and
- meet applicable legal obligations and enforce agreements.
Disclosures and service providers
VoxLink may use service providers for functions such as hosting, communications, telephony, AI processing, payments, support, security and analytics. Information is shared only as reasonably needed for those functions or as otherwise authorised or required by law.
The services and providers involved can depend on a customer's configuration. We do not publish an unverified fixed provider list here. Customers with due diligence requirements can request current information through our contact page.
Security and retention
We use technical and organisational measures intended to protect information against unauthorised access, alteration, loss or misuse. No online service can guarantee absolute security. More information about the approach taken by VoxLink is available on the Security & Compliance page.
Information is retained for as long as reasonably needed for the relevant service, account, support, security, contractual or legal purpose. Retention can also depend on customer configuration and the type of information. We do not state a fixed period where one has not been verified or does not apply uniformly.
International handling
Some service providers or processing activities may be located outside Australia. The location can vary by service and configuration. Where information is handled internationally, VoxLink takes steps appropriate to the circumstances to address privacy and security obligations. Contact us if your organisation needs confirmation about a proposed deployment before use.
Your privacy choices and requests
You may ask about personal information VoxLink holds about you, request access or correction, or raise a privacy concern. We may need to verify your identity and may be unable to fulfil a request where an applicable law permits or requires us not to do so.
Where VoxLink processes information on behalf of a business customer, that customer may be the appropriate first contact because it controls the relevant call, message or record. We can assist the customer where reasonably required.
Updates and contact
We may update this policy as services, practices or legal requirements change. The latest update date appears above.
To make a privacy request or raise a concern, use the VoxLink contact page and select the most relevant enquiry type. We will direct the request to the appropriate person.
